License Assignments

Use the License Assignments report to track software licenses, analyze their use, and determine their location. The report lists your software resources, as well as the numbers of transferable and non-transferable licenses owned and in use.

To generate a License Assignments report:

  1. Select Reports > Resource Reports.
  2. Under Software, click License Assignments.
  3. If running the report at the district, select a site from the For drop-down.
  4. Use the Select software by drop-down to choose what to include in the report:
    • All includes all software in your site or district.

    • List includes all resources in a Resource List designated as software. Select the appropriate list from the drop-down. To see the list contents, click View List.

  5. From the Show drop-down, select Summary Only or Details. The Summary lists the software and the number of licenses, while Details adds a list of the resources on which the software is installed.
  6. If you chose List, you can select Include a barcode list of items that have been assigned the specified software.
    Use this list to see when software licenses are due.
  7. Click Run Report.
  8. When Report Manager opens, click View to open the summary. Otherwise, click the PDF or XML link in Report Manager.

Summary Only Contents

The Summary Only report includes the following information:

  • Resource Name of the software
  • Total number of transferable licenses, the number assigned, and the number available
  • Total number of non-transferable licenses, the number assigned, and the number available

The information is sorted alphabetically by resource name.

If the number of licenses assigned exceeds the total number of licenses, a note alerts you to this fact.

The report is available in both PDF and XML file formats.

Details Contents

The Details report includes everything in the Summary Only report, as well as information about the resources to which the software is assigned:

  • Resource Name
  • Barcode number
  • Home Location
  • If the item is checked out, the patron, department, or location
  • Custodian
  • Name of the site that owns the resource

The information is sorted alphabetically by resource name.

If the report is for more than one site, the information is first grouped by site, with page breaks between sites.
